Legalizing your registration statement

To participate in our online real estate auctions, you must first complete and sign a registration statement. This statement officially links your account, via your unique customer number on our website, to the person or organization named in the statement. You can find your customer number under “My details” or at the top of this page when you are logged in.

Bids placed with your account are always made on behalf of, and at the risk of, the person or organization named in the registration statement. It is therefore important that we know for certain who signed this statement.

That is why your identity must be verified and your signature must be legalized. This is done by signing the registration statement in the presence of a civil-law notary, while identifying yourself with a valid identification document. This is called legalization.

You only need to have a registration statement legalized once per account. Once our platform notary Hekkelman has checked and approved the statement, your account remains legalized for all future auctions.

Why legalization is required

After real estate auctions, notarial deeds are drawn up. For this, your identity and signature must be officially confirmed. Legalizing the registration statement ensures that the entire bidding and purchase process can take place reliably, transparently and legally correctly.

Please note: legalization by the municipality is not valid. Only a civil-law notary can perform the identification and legalization for auction purposes.

How does legalization work?

  1. Download the registration statement and complete it.
  2. Make an appointment by phone with a civil-law notary in the Netherlands or, if you are abroad, with a local notary who meets our requirements. You cannot visit the notary without an appointment; you must make an appointment in advance.
  3. Bring a valid identification document.
  4. Sign the registration statement in the presence of the notary.
  5. The notary confirms your identity and legalizes your signature. If the auction you wish to participate in is taking place soon and timely delivery by post is not possible, this signed and legalized statement, together with its attachments, may first be sent by email to veilingen@hekkelman.nl.
  6. The legalized statement is checked by our platform notary.

✅ Once the legalization has been accepted, you will be notified by our platform notary, the bidding module in your account will be activated and you can participate in our real estate auctions.

Allow extra time

Legalization can sometimes take a little longer, for example due to busy notary offices or additional checks.

➡️ Our advice: contact a civil-law notary in good time and arrange your legalization at least three working days before the auction takes place, preferably even earlier. Legalization shortly before the auction is also possible, but we recommend arranging it in good time. Feel free to contact us if you have any questions.
